Outlook shared mailbox vs a help desk
A Microsoft 365 shared mailbox is free and easy. Here is what it does well, where it falls short for customer support, and how to tell which one your team needs.

What a Microsoft 365 shared mailbox is
A shared mailbox is an address like support@ that several people in your Microsoft 365 organization can open in Outlook. Nobody signs in to it directly: your admin gives people access, and it shows up next to their own mailbox.
What it does well
- It’s free. According to Microsoft, a shared mailbox can store up to 50 GB without its own license. Each person who opens it needs their own licensed Exchange Online mailbox.
- It’s already in Outlook. No new app to learn, on desktop, web or phone.
- Send as support@. With the right permission, replies go out from the shared address, not from each person.
Where it falls short for customer support
A shared mailbox is a shared folder of email. It wasn’t designed to track whether each customer got an answer.
- No assignment. Teams fake it with categories or flags, and those get out of date fast.
- No collision warning. Two people can reply to the same customer at the same time.
- No status. There’s no clear “waiting on us” vs “waiting on the customer” vs “done”.
- No reports. You can’t see first reply times, how many emails came in, or who’s overloaded.
- Anyone can delete. Microsoft notes you can’t stop people with access from deleting messages.
- Size and team limits. Microsoft recommends no more than 25 people per shared mailbox, and only people inside your organization can use it, so outside contractors can’t help.

You don’t have to give up the shared mailbox
HallaHelps connects to your existing Microsoft 365 shared mailbox with Sign in with Microsoft. No passwords, no server settings, and no change for your customers: they keep writing to the same address, and your replies still come from it.
Quick rule of thumb: if one or two people check support@ a few times a day, a shared mailbox is fine. Once three or more people answer customers, or you need to know how fast you reply, a help desk pays for itself in the double replies and lost emails it prevents.
